Case Study: An Office Order of 40 Bottles

A design studio in Chicago emailed in March: 40 people, a kitchen full of paper cups, and a sustainability commitment that had stalled at the purchasing stage.

The brief

  • 40 bottles, individually owned (not communal)
  • Must survive a dishwasher and a bike commute
  • Budget under $25 per unit
  • No plastic, no company logo

What we recommended

Insulated steel, 500ml, with a screw lid and a wide mouth for ice. We quoted 40 units at $19.99 with a 10% volume discount, shipped in three cartons to keep the parcel weight under carrier limits.

What we warned them about

Two things: the lids are the failure point, and a shared kitchen needs a drying rack or the bottles will live in the sink.

Month one

Paper cup orders dropped from four cases a month to one. Two people asked for a smaller size.

Month three

Three lids had cracked — all from being dropped on concrete, all replaced under warranty without a return. One bottle was left on a train. The studio ordered a spare-parts pack of five lids, which is the right move and the one most offices skip.

Total

$799.60 for the initial order, $24 for spare lids. Estimated annual saving on disposables: roughly $1,100. The sustainability argument was never the hard part; the drying rack was.

If you are doing this

Order 10% spares, buy the lids, and agree on who empties the rack. The logistics outlive the enthusiasm.
